Broad Field AI respects your privacy and is committed to handling personal data responsibly. This Privacy Policy applies to this website, to enquiries made through it, and to ScoutField (section 13).

Broad Field AI Sdn. Bhd. (company registration no. 1673545-T) is a Malaysian company. In this policy, “Broad Field AI”, “we”, “us”, and “our” refer to Broad Field AI Sdn. Bhd. We are responsible for the personal data described in this policy, except where section 13 says we act for a realtor.

Depending on how you interact with us, we may collect:

• Contact and identity information, such as your name, email address, organisation, role, and any details you include in an enquiry.
• Meeting information that you provide when arranging a call through Calendly.
• Communications, including emails, feedback, and other correspondence with us.
• Technical and usage information, such as pages or routes viewed, referral information, browser or device information, and similar website analytics.

This website does not currently provide user accounts or collect payment card details.

We collect personal data:

• directly from you when you email us, book a meeting, or otherwise communicate with us;
• automatically when you use this website, through website analytics and related technologies; and
• from service providers involved in your interaction with us, such as Calendly.

We may use personal data to:

• respond to enquiries and arrange meetings;
• provide information about our products and services;
• operate, maintain, secure, and improve this website;
• understand website performance and usage;
• manage our business relationships; and
• comply with legal obligations and protect our rights, users, and systems.

• service providers that support our website and business, including Vercel for hosting and web analytics and Calendly for meeting scheduling;

• a successor or purchaser in connection with a merger, reorganisation, financing, or sale of all or part of our business.

We do not sell personal data collected through this website.

We use Vercel Web Analytics to understand how this website is used. Our website also links to Calendly and other third-party services. Those providers may process information under their own privacy policies and may operate outside Malaysia. We encourage you to review their policies before providing personal data.

We use reasonable administrative, technical, and organisational safeguards designed to protect personal data against loss, misuse, unauthorised access, alteration, or disclosure. No internet service is completely secure. Where personal data is processed outside Malaysia, we take reasonable steps intended to ensure it receives protection consistent with applicable law.

We retain personal data only for as long as reasonably necessary for the purposes described in this policy, including to meet legal, accounting, reporting, security, and dispute-resolution requirements. Retention periods vary depending on the nature of the information and why we hold it.

Subject to applicable law, including Malaysia’s Personal Data Protection Act 2010 where it applies, you may request access to or correction of your personal data, withdraw consent to certain processing, or ask a question about how we handle your data. This website may contain links to websites or services that we do not operate. We are not responsible for their content, security, or privacy practices. A link does not imply that we endorse the third party.

We may update this Privacy Policy from time to time. The revised policy will be posted on this page with a new “Last updated” date. Material changes may also be communicated through another appropriate channel.

ScoutField is our WhatsApp assistant for property realtors. It replies to property enquiries on a realtor’s WhatsApp Business number, qualifies leads, offers viewing times and alerts the realtor.

Our role. For messages and leads handled by ScoutField, the realtor or agency decides how the data is used, and we process it on their behalf. We are responsible for realtors’ own account data.

Data we process

• Realtors: name, email, phone number, agency, WhatsApp Business account details (business name, phone number, account IDs), access tokens from Meta and Google, listings and availability.
• People who message a realtor: WhatsApp number and profile name, message content, details shared in the chat (such as budget, move-in date and area), and viewing bookings.
• Contacts a realtor chooses to import: names and numbers only. Chat history that Meta sends during setup is discarded on arrival.
• Google Calendar, if connected: calendar availability, and the viewing events ScoutField creates.

How we use it. To receive and reply to messages, qualify leads, schedule viewings, alert the realtor and keep the service secure. We do not sell this data or use it for advertising.

Who processes it. Meta (WhatsApp Business Platform); our database provider, which stores data in Singapore; AI model providers on paid business terms that do not train on our data, which may process data outside Malaysia, including in the United States; and Google, if Calendar is connected.

Retention. Lead data is deleted 12 months after the last activity. A closed account’s data is deleted within 30 days.

Stopping and deletion. Reply STOP in the WhatsApp chat to stop automated messages. To delete data, see Data Deletion.

Google user data. ScoutField’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
